Start with the process, not the tool

Workflow automation can be extremely cheap or very expensive.

Ongoing platform subscriptions, API charges, hosting and monitoring can sit outside the implementation fee.

A simple automation should stay simple

A fixed-price simple workflow is appropriate when the requirement looks like this:

  • two standard applications
  • existing connectors
  • one clear trigger
  • one or a few predictable actions
  • clean data
  • no sensitive decision-making
  • no custom API development

Once those assumptions fail, the project should stop being sold as a tiny fixed-price task.

If a system does not have a reliable connector, technical discovery and development are required.

Branching and exceptions

A workflow with one happy path is easy. A workflow with ten edge cases needs much more design and testing.

Dirty data

Automation does not repair unclear processes or inconsistent data by itself.

AI or judgement

If a model is classifying, interpreting or making consequential recommendations, human review, logging and controls become part of the design.

Monitoring

A business-critical automation needs failure alerts, ownership and maintenance. "It worked when we launched it" is not an operating model.
