Not every business needs a Learning Management System. Many businesses need better training, and assume an LMS is the way to get there - but an LMS is a delivery system, not a training strategy. Buying one before you've defined what you're teaching is a common, expensive mistake.

When an LMS is genuinely worth it

An LMS earns its place when at least one of these is true:

  • You train repeatedly. Onboarding, compliance, product training - content you deliver more than once to different people.
  • You need to track completion. Regulatory, certification or internal compliance requirements mean you must prove who learned what.
  • You have a distributed team. People in different locations or shifts need access to the same material on their own time.
  • You sell or monetise learning. Courses are part of your offering, not just internal.

When it's overkill

  • One-off training. If you're training a team once, a well-run session and a shared document are cheaper and more effective.
  • Very small teams. For a handful of people, a structured folder and a checklist often beat a platform nobody logs into.
  • Undefined content. If you don't yet know what the training should be, a platform won't create it for you. It will just make the gap more visible.

The real question

Before "which LMS," ask: what do people need to be able to do, and how will we know they can do it? If you can answer that, the platform choice becomes straightforward. If you can't, no platform solves the problem - it just organises the absence of content.

A practical sequence

  1. Define the outcomes - what should change after the training.
  2. Identify the content - what already exists, what needs creating.
  3. Decide if it's repeated and tracked - this determines whether you need an LMS at all.
  4. Choose a platform that fits the scale, not one that impresses in a demo.

The adoption trap

The most common LMS failure isn't the wrong platform. It's a platform nobody uses. An LMS only works if someone owns the content, the completion and the relevance. Without that ownership, it becomes a graveyard of half-finished courses.
